Give WhatsApp one clear role in the customer journey

For many Indian local service businesses, WhatsApp is the quickest way for a visitor to ask a practical question before they are ready to call or complete a form. A tutor may need to confirm a class level, a photographer may need an event date, and a home-service team may need to check the locality. A click-to-chat link can remove the awkward step of asking someone to copy and save a phone number. It should begin a useful conversation, not replace every detail a customer needs before choosing you.

Decide what the link is for before adding a floating green button to every page. It can work well as a secondary route beside an enquiry form, or as the primary route when the business genuinely answers WhatsApp messages during stated hours. If a message only creates an enquiry that someone reviews later, say ‘Ask about availability’ rather than ‘Book now’. A truthful label prevents a visitor from assuming that tapping the button reserves a slot, confirms a quote, or creates an emergency response.

Build the link with the correct business number

WhatsApp’s click-to-chat format uses a wa.me link followed by the full phone number in international format. For an Indian number, start with 91 and then use the ten-digit mobile number, without a plus sign, spaces, brackets, dashes, or the leading zero. For example, a number written locally as 09876543210 becomes https://wa.me/919876543210. Test the exact link on a phone and a desktop browser before putting it on the website. It should open a chat with the business account, not a staff member’s old personal number.

Keep ownership in mind. Use a number the business controls and can retain if a freelancer, receptionist, or agency changes. Put the current account owner and handover process in the business’s own operating notes. Do not publish a private number simply because it is convenient during a launch. If the business uses a dedicated WhatsApp Business account, confirm its profile name, hours, and greeting are accurate too; the website button and the chat profile should give a customer the same basic expectation.

Use a short pre-filled message to create useful context

A click-to-chat link can include a pre-filled message after ?text=. Keep it short and editable. ‘Hello, I found your AC repair page. Do you serve HSR Layout this week?’ tells the business where the conversation started and gives the visitor a simple prompt. The message must be URL-encoded, so spaces and punctuation are converted safely by a link builder or developer. Test the final text in WhatsApp rather than relying on how it looks in the page editor.

Make the prompt match the page. A wedding photographer’s page can ask about date and city; a consultant’s page can ask about the project goal; a tutor’s page can ask for class and subject. Do not pre-fill sensitive details, a person’s full address, or a claim such as ‘I accept your quoted price’. The visitor should remain free to change or delete the message. A helpful prompt reduces the first round of back-and-forth; it is not a substitute for a clear service description, pricing approach, or privacy information on the page itself.

Place the action where a visitor has enough information

Put the WhatsApp action near the decision it supports: after a service overview, pricing approach, coverage-area explanation, or portfolio example. The label should name the outcome, such as ‘WhatsApp us about home visits’ or ‘Ask about a project’. A generic icon at the bottom of every page may be familiar, but it does not explain what happens next and can cover form controls or content on a small screen. Give the link visible text, a clear accessible name, and a touch target that is comfortable to use.

Keep at least one non-WhatsApp route available. Some people prefer to call, email, or submit a form; others may not use WhatsApp at all. A contact page with business hours, an accessible phone link, and a short enquiry form makes the website less dependent on one platform. If a chat button is fixed on screen, check it with keyboard navigation and at narrow mobile widths. It must not block the submit button, hide focused controls, or trap someone in an overlay.

Set response expectations and protect customer information

Tell customers when replies are normally reviewed. ‘WhatsApp messages are answered Monday to Saturday, 10 am to 6 pm’ is kinder than an always-visible button that implies an instant answer. If an urgent service has a separate phone process, state that plainly. A business should also decide who can view incoming chats, how requests are handed to the right person, and how old conversations are handled. This is basic customer service as much as it is website setup.

Ask only for the information needed to assess the request. An initial message may need a service type, preferred date, and general locality, but not identity documents, payment card details, passwords, or a precise home address. Move sensitive details to an appropriate later process only when genuinely required. Do not promise an exact quote or availability through an automated greeting if staff still need to review scope. Clear limits protect the customer and make the business easier to trust.

Test the complete path and review it every month

Before publishing, open the link on Android, iPhone if available, and a desktop browser. Check that the intended number and pre-filled text appear, the label remains visible at common zoom levels, and the page still has a usable fallback contact route. Try the page with a keyboard, especially if the button floats over the layout. Send one harmless test message only if the business has agreed on how it will be identified and cleared from the normal enquiry workflow.

Review the link whenever the phone number, working hours, service area, or staff process changes. Look at a small sample of real enquiries: are people repeatedly asking a question that the page should answer first, or arriving with a request the business cannot fulfil? Improve the relevant page or pre-filled prompt rather than adding more buttons. A WhatsApp click-to-chat link cannot guarantee leads or reply speed. Its value is simpler: it gives a ready visitor a direct, honest way to begin the right conversation.
